Vacancy – Office Manager

We are seeking an Office Manager to take responsibility of the day to day running of the office.

Role includes:

    • Managing company insurances
    • Managing our vehicle fleet
    • New apprentice start-up process
    • Managing the ongoing regulatory and health and safety training for our engineers
    • New starter inductions
    • Take meeting minutes
    • Ensuring that our collateral warranties and project paperwork are signed and returned on time
    • Managing engineer and subcontractor timesheets
    • Managing our subcontactor process – ensure their insurances are valid, do pre-qualifiers, issue terms and conditions and purchase orders in line with domestic reverse charge and the CIS scheme
    • Plant hire and weekly reporting
    • Adhoc letter writing and spreadsheets for managers
    • Involvement in HR processes, including new starters, leavers, contracts, handbooks
    • Dealing with couriers and setting up / managing accounts
    • Renewal of Construction Line and Ecovadis membership
    • Completing sub-contractor pre-qualifiers
    • Purchasing of IT equipment and consumables for office and project sites
    • Bank payments
    • Supplier, subcontractor and plant purchase orders
    • Approval of supplier invoices
    • Subcontractor payment applications and payment certificates
    • Involvment in holiday approval process and new year carry forward calculations
    • Ensure smooth running of the office, including stationery, food, drinks, post etc

    Skills required:

    • You need to be an excellent communicator verbally and in writing
    • You need to be confident dealing with third parties such as bank, insurance brokers, health and safety advisors, HR advisors
    • You need to be proactive and be able to take on responsibility, ensuring things don’t get forgotten
    • You need strong IT skills including MS Word, MS Excel and Adobe
    • Experience in construction office / site is preferable

    Salary: Dependent on experience
